Administrative Assistant

Operations - Houston

 

BASIC PURPOSE OF POSITION:

Provides administrative support to the Regional Operations Manager and the Operations group.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

        Type correspondence and reports from rough drafts using word processing software; editing formatting, grammar, punctuation or spelling as needed.  Documents may include embedded graphs, tables and illustrations.

        Type and prepares slides and graphs in PowerPoint for presentations.

        Copy and assemble a variety of reports, charts and graphs for distribution.

        Open, sort, and distribute incoming mail and reads correspondence when necessary to direct to appropriate personnel.  Follows through on requests to submit correspondence and documents through overnight mail or courier services.

        Receive visitors and incoming phone calls; responding to routine inquires, redirecting calls or providing routine information requiring broad knowledge of functions within departments and business units.

        Maintain files for expenses, contracts and other administrative information.

        Perform copying and faxing activities to support the department.

        Arrange schedules and itinerary for business trips; obtaining transportation, hotel reservations and making other necessary arrangements.

        Schedule and make necessary arrangements for luncheons, meetings and teleconferences.

        Prepare and process expense reports.

 

POSITION SPECIFICATIONS:

        A minimum of four (4) years of administrative experience OR Bachelorís Degree with (1) year of administrative experience.

        Ability to develop and maintain harmonious work relationships with fellow employees and outside contacts.

        Proficient knowledge and working experience using word processing and personal computer equipment.  Familiarity with Outlook, Microsoft Word, Microsoft Excel and PowerPoint is required.

        Thorough knowledge of business English, spelling and math.

        Considerable knowledge of office practices, procedures and their application.  Ability to keep records and to prepare periodic reports from such records.

        Desire to be considered an integral part of a work team, to be treated as a professional and to contribute creatively to the success of the group.

        Effective interpersonal skills to handle sensitive and confidential information and situations, and the ability to use discretion when screening telephone calls and visitors.

        Ability to work in a fast-paced environment, process work rapidly, set priorities, work under pressure, and follow through with assigned tasks with limited supervision.

        Willingness to accept a work schedule with hourly demands that will vary as departmental workload fluctuates. Ability to work extra hours if needed to complete assignments.
